Office Business Administrator 
First Baptist Church is seeking a dynamic and gifted Office Business Administrator to provide fresh vision and vibrancy to the business operation of FBC Pharr. This person should be able to reflect a life style of full devotion to Christ and to make disciples by embracing and expressing the core values of First Baptist Church Pharr with the worship ministry volunteers by (1) Loving God in corporate worship, (2) Loving Others through community groups & (3) Loving the World within community/outreach ministry service.
The Office Business Administrator role(s) as:
Receptionist:
  • Have strong communication skills
  • Field telephone calls
  • Receive and direct visitors during office hours
  • Reply to communication cards at the beginning of the week
  • Office materials and necessary supplies for work-room accessible to staff and volunteers
Secretarial:
  • Perform administrative and office support activities for current lead staff
  • Have proficiency in word processing, creating spreadsheets and presentations 
  • Skill set(s) in extensive software skills , internet research abilities, and keep of a filing system
  • Check and reply to daily church emails at  fbcpharr.org
  • Update small groups rosters through the ACS Technology and place them in Sunday School classrooms each Friday morning
  • Oversee the Master Calendar with ongoing updates for each month and yearly calendar. Create the monthly calendars 
  • Input and update church membership roster as needed (ACS-Membership and files)
  • Keep background check organized and secure (Personnel Committee)
  • Manage and update church calendar for request of building usage
  • Manage and create necessary social media channels to communicate with church members and the community at large. ( Facebook, Twitter, etc)
  • Manage and update church’s website
  • Manage and create church’s electronic newsletter.
  • Need basic knowledge of graphic design in order to create and produce a weekly church bulletin
  • Other support as needed to enhance the church media ministry
  • Attend Support Staff meeting on Tuesday morning
Financial Business:
Weekly :
  • Count collected tithes and offerings (Money counters)
  • Rill out tithes and offering records, separating general and designated funds ( Money counters)
  • Fill out deposit slips for the general and designated accounts ( Money counters)
  • Input revenues and contribution designations into computerized accounting systems—ACS
  • Take deposits ( treasurer, assistant treasurer, financial chairperson)
Bi-weekly:
  • Payroll-including making sure hourly staff’s timesheets are approved, writing/posting the paychecks and sign checks ( Authorized signer)
  • Process and create payable for church treasure to Review and Sign


Monthly:
  • Balance General and Designated accounts including matching the handwritten tithes and offering reports to the deposit amounts on the bank statements and to the computerized tithes and offerings ; reconcile bank statements to ACS ( Treasurer/Asst. Treasurer)
  • Monthly transfers
  • Calculate and pay church taxes (Treasurer/Asst. Treasurer)
  • Prepare monthly reports for stewardship committee and business meetings 
  • Maintain payable calendar
Often:
  • Prepare check request forms
  • Review credit card purchase and receipts (Treasurer/Assist. Treasurer)
  • Approve and pay payables as approved by committee chair (Need 2 of Treasure/Asst. Treasurer and Financial Chair)
  • Post bill and payable payments into ACS
Quarterly:
  • Review quarterly IRS reports
  • Review CD’s and savings accounts
  • Financial Report (Investment Reports updates)
Yearly:
  • Next year budget workshop ( Stewardship Committee)
  • Close out year through taxes, reports, etc
As needed:
  • Order deposit books, checks, 
  • Maintain and create (W-2, W-9, 1099’s ,etc) for staff 

Policy and Duties:
  • Adhere and be knowledgeable of FBC Pharr Constitution and By-Laws of 2013 
Evaluation:
  • Annual Performance Evaluation Review will be conducted annually. (  FBC Pharr By-Laws Article II-Section G)
Qualifications:
  • Must be a member of a local church in good standing
  • College graduate or equivalent work-related experience 
  • Strong computer skills are imperative( MS Windows, Word, Excel, Access, PowerPoint, Outlook)
  • Proficiency in the use of standard office tools (Computer, Scan, Fax, and copy machine, ect.)
  • Strong Organizational skills
  • Bilingual Preferred 

Classification:  Part-time (35 Hours Weekly)
Salary:  Hourly Wages (Increase based on experience)
